Membership and Preservation Services Coordinator

The Membership & Preservation Services Coordinator handles all aspects of the Historic Wilmington’s membership programs and assists the Executive Director with preservation programs.    The position may also assist with special fundraising activities and special events as time permits.  The position is part-time budgeted at 24 hours per week and the employee is eligible to participate in the organization’s retirement program with an employer match of contributions.

 

Skills:  Strong computer skills and knowledge of Microsoft Access, Word, Excel, Windows.  Awareness and knowledge of social media programs and website management a plus.  Good oral and written communication skills, attention to detail, and willingness to take on responsibility are crucial for the position. An understanding of general office procedures and equipment; friendly outgoing personality; flexibility and willingness to take on a multi-faceted position are an asset.  An undergraduate degree is required and a familiarity with historic preservation programs and strategies is a plus. 

 

Responsibilities

Responsibilities will be varied and some may be determined on an ongoing basis.  Position requirements are as follows:

 

Membership:

  • Create and manage activities to recruit new members and retaining current members.
  • Maintain membership database.  Process memberships; send out renewal & follow-up notices, and all acknowledgements.
  • Generate membership lists for the newsletter, board meetings and committees, and annual report.
  • Logistics and planning for all membership and preservation events, including site planning, catering, facilities and security
  • Volunteer recruitment and management, maintenance of volunteer database.
  • Manage all follow-up and thank you notes after membership events.
  • Coordinate Shrimparoo friendraiser.
  • Create and manage activities to recruit new members and retain current members, as well as re-establishing connections with delinquent members
  • Assist the President and the ED with the annual Year End Appeal.

 

Preservation Services

  • Assist with creation and implementation of preservation programs as directed by the Executive Director 
  • Assist the Director with all mailings for preservation programs and use database to record and calculate response to events.
  • Serve as staff to the Plaque Committee, maintain plaque files, generate new plaques, and manage plaque fees.  
  • Manage Tar Heels schedules as directed.  

 

Fundraising

  • Manage/assist with creation and development of solicitation/sponsorship materials for events
  • Manage in conjunction with Events Coordinator all mailings for events and use database to record and calculate response to fundraising events. 

 

Marketing

  • Manage/create all membership initiatives, and direct e-mail and mail communications
  • Create/Assist with development & printing of membership materials & publicity for events.  Manage quality & costs with ED.

 

Public Relations

  • Work with the media on membership activities and  events to increase awareness and public perception of HWF
  • Write/create news releases/articles for membership events and HWF newsletter and e-letter.

 

General

  • Provide telephone and administrative support in the office.
  • Assist on special projects as deemed necessary by the Executive Director.
  • The position reports to the Executive Director.
